ModMount implements a comprehensive inspection system throughout the modification process to ensure quality, document component condition, and protect both parties. Our multi-stage inspection protocol creates accountability and transparency from order placement through delivery.
12.1 Fulfillment Form
After completing your purchase, you will receive a Fulfillment Form along with your receipt and prepaid shipping label. This form serves as the foundation of our quality assurance process, is essential for our quality control process, and protects both parties by establishing a clear baseline condition.
- You must complete this form before shipping your components to us
- The form requires uploading clear, well-lit images of your components from multiple angles (top, bottom, right, left, isometric, etc.)
- These images document the pre-modification condition of your components
- You will receive an email copy of your completed form for your records
- Components received without completed documentation cannot be processed as we lack the critical pre-modification condition documentation required by our quality assurance protocols.
- If you ship components to ModMount without first completing the required Fulfillment Form, we reserve the right to:
- Cancel your order without further notice
- Return your components to the shipping address provided during checkout
- Charge a $25 handling fee to your payment method on file
- The handling fee covers our costs associated with receiving, documenting, packaging, and returning unprocessed components.
This initial documentation is a service to you, creating a record that protects both parties from future liability concerns. Components received without completed documentation may experience processing delays.
12.2 Incoming Inspection Protocol
Upon receiving your components, we will perform a thorough incoming inspection:
- Unboxing video documenting the condition upon arrival
- Confirm that your components have arrived safely
- Standardized high-resolution images from multiple angles (top, bottom, right, left, isometric, etc.)
- Verification of legal compliance and serial numbers
- Verification that components match the specifications in your order
- Compatibility validation for requested modifications
- Photographic documentation of pre-existing conditions
- Measurements of critical dimensions
- Assessment of component condition, noting any pre-existing issues
If we identify any concerns during incoming inspection that might affect the quality of our services, we will contact you before proceeding with your modifications.

We utilize an Incident Report system to document any unexpected issues that arise during the modification process:
- We will first attempt to remedy the issue through standard processes
- If internal remediation attempts are unsuccessful, we will complete an Incident Report
- Detailed explanation of the issue and its potential impact
- Photographs and/or measurements illustrating the concern
- Proposed solutions or alternatives
- You will receive a copy of this report for your records

We keep all inspection and incident reports for at least 1 year, after which we may irrevocably delete the data.
This comprehensive inspection system ensures that every modification meets our exacting standards while providing complete transparency throughout the process.
